Booking Conditions for Himalayan Pole Treks Pvt. Ltd.
These Booking Conditions, along with our privacy policy and any other relevant information provided before confirming your booking, form the basis of your contract with Age of Himalayas Pvt. Ltd. (“we”, “us”, “our”). Please read them carefully as they outline our respective rights and obligations.
By making a booking, the lead traveler agrees on behalf of all parties involved that they:
- Have read and understood these Booking Conditions and agree to be bound by them.
- Acknowledge the risks associated with adventure travel.
- Consent to the use of personal data as per our Privacy Policy and confirm they have the authority to disclose personal details for all parties on the booking.
- Are over 18 years of age and confirm that all members of the party meet any age restrictions.
- Do not have any medical conditions that may hinder their participation in the tour. If there are any conditions, they will inform us prior to booking.
- Accept financial responsibility for the booking.
Trip & Booking Contract
Your booking is confirmed when we issue a written confirmation after receiving the required deposit. Please check your confirmation for accuracy.
Payment Details
To secure your reservation, a deposit of 25% of the total trip cost is required at the time of booking. Payments can be made via our website, bank transfer, or checks payable to Age of Himalayas Pvt. Ltd. Full payment is due 30 days before your trip.
Cancellation Policy
We understand that plans can change. If you need to cancel:
- 30 Days or Less: No refunds, but you can reschedule for a future trip.
- 31 Days or More: 25% deposit retained; 75% refunded.
For tailor-made trips, the cancellation terms are similar but with a 60-day notice for refunds.
Changes to Your Trip
If you need to change your itinerary after confirmation, please notify us in writing at least 60 days before departure. Additional costs may apply.
If We Change or Cancel Your Trip
If we need to make significant changes or cancel your trip, we will inform you as soon as possible. You will have the option to accept the changes, receive a refund (excluding the non-refundable deposit), or choose alternative arrangements.
Health and Insurance
You must have travel insurance that covers repatriation and emergency evacuation. Proof of insurance is required at the start of your trip.
